Monitoring the Status of your Referrals

Navigate to the Referral Request Status page which displays the Referral Request Status dashboard.
- Note: Referrals are listed in chronological order by request date and time, with the most recent displayed first.
- Select the referral you want to monitor.
New requests display a “New” badge and appear in bold. Once the receiving organization opens the referral, the request will no longer appear in bold.
- You can filter by the last name or ID number, organization referred by, referral status, and show/no show.
Click on any part of the row to view the referral.

Review the receiving organization’s response to your referral in the ‘Status’ column
- When one organization accepts a shared referral, others are marked Accepted Elsewhere. The receiving organization updates the status after a show or no-show. Part 2 facilities require consent before sharing this data.
Managing Referrals
Each referral in the OpenBeds platform will include the following details:
- Demographic Information: Displays the name, date of birth, gender identity, and other demographic information for the person of concern. This information comes from the original referral request submission.
- Request: Provides the referral form completed and submitted by the referring organization.
- Referring Provider Contact Information: Information about the referring organization including the organization’s name, type of service making the referral, facility phone number, and facility location.

Messaging: The ‘External’ tab allows you to communicate bi-directionally with users outside of your organization. Use the ‘Internal’ tab to send messages to users within your service.
- Note: External users cannot see ‘Internal’ messages.
- Attachements: Stores all files associated with a specific referral
- Logs: Reflects the updates and activity for the specific referral.
Within the referral, a red circle indicates the number of new unread messages on the External and/or Internal tabs. Hover over the initials icon to view the sender’s full name, organization, and the date and time the message was sent.
Reply as needed, or click into the text box to clear the unread message count. You’ll still receive an email notification when a new message is sent, including a link to log in to the platform to review it.
New referral requests automatically default to a status of 'Open'. Update the status from the drop-down menu as you work through the request.
